Notice on Provision of Individual Number with Introduction of the Social Security and Tax Number System
First, we would like to express our appreciation for your continued understanding and cooperation in activities of the Japanese Society for Artificial Intelligence (JSAI).
In January 2016, the Individual Number (My Number) started to be used in areas of social security and taxation. Accordingly, those (individual residents in Japan) who receive a total of more than 50,000 yen (including withholding income tax) for remuneration from JSAI during a year (January–December) must report their Individual Number to JSAI because JSAI has an obligation to issue the “Payment record for remuneration, fee, contract money, prize money.”
In that regard, JSAI will send a written request for provision of My Number from a person in charge of accounting in the Administrative Office of JSAI by post to those who have received a total of more than 50,000 yen (including withholding income tax) for remuneration from JSAI for a year. If you receive such a request, please submit it by the due date after having confirmed the necessary matters. We are sorry to trouble you, but your cooperation will be much appreciated.
JSAI manages specific personal information, including the Individual Number, based on the “Basic Policy on Proper Handling of Specific Personal Information” and the “Regulations for Handling of Specific Personal Information.”

1) Please let us know the “Name and Home address” on your Individual Number Card or notification card, and as your contact information to a person in charge of accounting in the Administrative Office of JSAI, your “Phone number and E-mail address.”
2) In the case in which the total amount of annual payment from JSAI comes to exceed 50,000 yen (including withholding income tax) after the amount of annual remuneration has been totaled, a person in charge of accounting in the Administrative Office of JSAI will send a written request for provision of My Number to your home address by post. If you receive the document, please submit documents for number confirmation and identity confirmation using an enclosed stamped envelope for simplified registration to the Administrative Office of JSAI. Your cooperation will be much appreciated. If there is any change in your name, address, etc. by the end of December, please report to that effect to JSAI without delay. We would once again like to ask your cooperation.
3) JSAI will not obtain your My Number by means other than by sending a written request from a person in charge of accounting in the Administrative Office of JSAI.
4) If applicable in your case, your My Number will appear on the “Payment record for remuneration, fee, contract money, prize money” which will be sent to your home address from JSAI during the middle and the end of January in the following year. Your My Number will appear only on the information returns that JSAI submit to a tax office as a withholding agent.
